  1. Emergency response equipment stored on site; i.e. wet and dry / pump-out vacuums , dehumidifiers, air movers, floor squeegees, carpet extractors
  2. Back-up supply of chemicals, and consumables
  3. Emergency list of key employees and emergency equipment in surrounding properties
  4. Portable generators  with 24 hour fuel supply - for mission critical sites 
  5. Emergency spill kits and PPE
  6. Contact information for site approved emergency back up crews and disaster recovery teams 
  7. Contact information for CBRE, building security and key client stakeholders
  8. Misc equipment; extension cords, shovels, plastic rolls, duct tape, etc

An account / site specific janitorial services business continuity plan (BCP) should be developed and agreed upon with the supplier during the transition phase.

 

Key Points to consider are:

  • Supplier should create and maintain an appropriate BCP to mitigate risk and ensure the planned continuity of the Janitorial Services delivered in accordance with the SOW
  • Supplier is to provide the CBRE Account / Site team a soft copy of the BCP
  • A minimum of an annual review to update plans that meet Account / Site specific CBRE / Client requirements and frequencies to be established
  • BCP may be reviewed on a more frequent basis in the event of a major event or pandemic
  • Specific reviews shall be conducted ahead of known or anticipated events such as enhanced risk of terrorism, flood or hurricane alerts, etc.
  • BCP shall cover all reasonable potential incident eventualities in relation to incidents and events impacting the supplier, CBRE, the Client or the site from which the services are performed
  • Supplier shall use all reasonable endeavors to provide continuity of service to meet the SOW when a BCP kicks-in due to prevailing circumstances and conditions


     

It is important to document and agree what the revised or enhanced Janitorial Services SOW and SLA requirements are for each individual instance and event as each will vary by incident and by the level of severity. 

Costs associated with the execution of a BCP incident / event should be agreed in advance, and managed-invoiced on a time and material basis.


In the event the Janitorial program requires modifications or enhancements as a result of the circumstances, 
the supplier shall document and present a detailed breakdown of the proposed modification.

All changes that deviate from the existing contract agreement must be approved by CBRE in writing prior to execution.
